How to reply to a bad Google review (with examples you can copy)
A bad review feels personal. The reply is not for the person who wrote it. It is for the two hundred people who will read it over the next year while deciding whether to come. Once you see it that way, the reply gets much easier to write.
Reply within a few days
A review with no reply looks like a business that does not care. A review with a calm reply looks like a business that fixes things. The difference in how the next customer reads it is large, and it has nothing to do with whether the complaint was fair.
Aim for within three days. Not within three minutes; a reply written angry is worse than none.
The four-sentence reply
- Thank them, by name if they used one. "Thank you for taking the time to write, Priya."
- Acknowledge the specific thing. Not "we are sorry you had a bad experience". Name it. "You waited forty minutes past your appointment on a Saturday, and that is not the standard we want."
- Say what you did or will do. One concrete action. "We have changed how we book Saturday slots so this does not stack up."
- Offer to continue privately. "If you are willing to give us another chance, please message us and ask for me."
Four sentences. Sign it with a real first name. Stop.
Three examples
Waiting time
Thank you for writing, Rahul. You waited well past your slot on Saturday evening, and I am sorry. We have added a second stylist on Saturdays from this week so bookings are not stacked. If you would like to come back, message us and I will make sure you are seen on time. Meena
Food or product quality
Thank you for telling us, Ana, and I am sorry the risotto was not what it should have been. We checked with the kitchen: that batch was rushed before service. It has been corrected. I would like to make it right; please message us and your next meal is on us. Marco
Rude staff
Thank you for letting us know, Tom. Nobody should be spoken to that way in our shop, and I have talked to the team about it today. I would welcome the chance to serve you properly. Please ask for me by name if you visit again. Suresh
Notice what these do not do: they do not explain, they do not defend, and they do not argue about the facts.
What never to write
- "We have no record of your visit." Even if true, it reads as "you are lying" to everyone else.
- Anything about the reviewer's character. You are talking to future customers, not to them.
- A wall of text. Length reads as defensiveness.
- A discount code in public. It teaches people that bad reviews are how you get discounts. Offer to make it right, privately.
- The same copy-pasted reply on every review. Readers notice, and it says "we do not actually read these".
When the review is fake or abusive
Reply once, calmly, with the four sentences, and then use Google's flag option on the review. Do not get into a thread. Google removes reviews that violate its policies, but it takes days to weeks, and a measured reply protects you in the meantime.
The quiet upside
A well-answered bad review often does more for you than a five-star one. Five-star reviews say the business is good. A calm reply to a two-star review says the business is run by an adult who fixes things. Customers choose that.
